Operations Manager & Business / Financial Advisor
Our client is a multigenerational family based in Newport Beach and they are seeking a strategic, highly capable, and discreet professional to serve as their Family Office Operations Manager and Business & Financial Advisor.
This individual will play a pivotal leadership role overseeing the financial, operational, and strategic dimensions of a well-established family office, interfacing directly with the Principal and ultimately with his successors (4 G2 adult children and 11 G3 grandchildren).
This is a unique opportunity to work alongside a visionary business leader and philanthropist, supporting active ventures in biotech and environmental innovation, while also managing real estate, trusts, and charitable initiatives. The role will grow in importance over time, particularly as the family transitions leadership and legacy oversight to the next generation.
POSITION SUMMARY
This role is best described as a very hands-on, executive leadership role where responsibilities will span from strategic to consultative to operational to detailed execution and oversight. Key areas of involvement will include, but not be limited to, the following:
Family Office Management
- Lead day-to-day operations of the Newport Beach-based family office
- Serve as the primary liaison for financial, legal, administrative, and intergenerational family matters
- Coordinate with outside legal, tax, investment, and estate planning advisors
- Oversee a small internal team including bookkeeper; legacy chief of staff retiring; executive assistant
- Manage quarterly financial reporting across ~8–9 trusts and monthly cash flow and budget tracking for the Principal’s activities
- Provide oversight and internal support for tax preparation to reduce reliance on external advisors
- Oversee cash flow and reporting related to complex entity structures and philanthropic giving, including:
- Gavin Herbert Eye Institute (GHEI)
- UCI
- Family real estate holdings
- Roger’s Gardens, Newport Beach
- Nixon Library
- Family real estate trusts
- 2-Family foundations
- Regenesis and TechImmune, two active business interests with high-impact potential
Strategic & Financial Planning
- Monitor investment performance and coordinate with family’s investment advisors
- Administer trusts, charitable vehicles, and estate plans with a view toward long-term transition
- Assist in developing and managing cash flow forecasts, including family income
- Interface with board-level governance and oversight structures as needed
Residential Oversight
- Oversee operations and financial administration of three large residences, including staffing, payroll, vendor management, maintenance, and insurance
- Ensure accurate tracking of capital projects and integration of financial data into household systems
Business & Philanthropic Advisory
- Serve as liaison for TechImmune, a next-generation vaccine venture, including part-time CFO oversight, reporting to Chair, and UCI-based R&D coordination
- Provide governance support and reporting for Regenesis, an environmental solutions company with strong market expansion potential (BFAS remediation, 80,000+ sites)
- Participate in board-level discussions
- Support intergenerational succession planning for operating entities and philanthropic initiatives
Future Leadership and Succession
- This role is expected to become increasingly important over time. Upon the Principal’s passing, the position will serve as a primary point of continuity for a growing next generation of adult beneficiaries. The successful candidate will be a stabilizing, trusted presence through future transitions, with the opportunity to shape the Family’s governance and legacy for decades to come.
DESIRED CANDIDATE
The successful candidate will be a discreet, self-driven family office executive and/or a tax professional serving ultra-high-net worth clients with strong financial, tax, and business management experience, including strong strategic, financial, analytical, operational, and leadership skills. The ideal candidate will possess the following qualifications/characteristics:
Qualifications
- Education: MBA required; CPA or related financial credential strongly preferred
- Experience: Minimum of 10 years of experience in finance, accounting, or operations; at least 3 years in a family office or high-net-worth environment
- Proven ability to manage complex, multi-entity financial structures and interact with senior advisors
- Familiarity with trust administration, estate planning, philanthropic giving, and investment oversight
- Experience in managing small teams, project workflows, and external relationships
- Comfortable engaging at both a tactical and strategic level — from reconciling cash flow to presenting at a board meeting
