Operations Manager - Family Business Office
About the Role
We are seeking an innovative and highly organized Operations Manager to lead the day-to-day operations of our Family Business Office, which manages multiple businesses across various industries. The ideal candidate will drive operational excellence through continuous improvement methodologies and leverage emerging AI technologies to optimize business processes.
Key Responsibilities:
- Strategic Operations Management: Oversee and coordinate operations across our diverse business portfolio, implementing systems that drive efficiency, scalability, and continuous improvement.
- Risk Management & Due Diligence: Apply critical thinking and a skeptical mindset to safeguard the businesses from financial risks, including overcharging, missed payments, and misallocated expenses or revenues.
- Data Analytics & Reporting: Utilize advanced Excel skills and data visualization tools to conduct comprehensive financial analyses, develop actionable dashboards, and provide data-driven insights that inform strategic decisions.
- Process Optimization: Identify operational inefficiencies and implement continuous improvement methodologies (Lean, Six Sigma, etc.) to streamline workflows and enhance organizational performance.
- AI & Technology Integration: Champion the adoption of AI-powered tools and automation technologies to enhance operational efficiency, reduce manual workloads, and uncover new business insights.
- Real Estate Portfolio Management: Apply comprehensive understanding of real estate operations, including 1031 exchanges, property management, and market analysis.
- Business Opportunity Assessment: Analyze potential business opportunities using qualitative and quantitative methods, evaluate risks and returns, and recommend strategic courses of action.
- Financial Oversight: Manage administrative tasks including accounting processes, budget development, financial reporting, and expense management.
- Stakeholder Collaboration: Build and maintain productive relationships with external advisors, including attorneys, accountants, and investment managers, to ensure compliance and optimize business performance.
- Knowledge Management: Establish systems for documenting processes, preserving institutional knowledge, and facilitating continuous learning across the organization.
Qualifications:
- Bachelor's degree in Business Administration, Finance, Accounting or related field; MBA or advanced degree preferred.
- Minimum of 5 years of experience in operations management, preferably in a family office or multi-business environment.
- Demonstrated experience implementing continuous improvement methodologies and process optimization strategies.
- Proficiency with AI tools and technologies for business process automation and data analysis.
- Strong analytical thinking, problem-solving abilities, and attention to detail.
- Excellent communication and interpersonal skills, with the ability to influence at all levels of the organization.
- Advanced proficiency in Microsoft Office Suite, particularly Excel, and experience with business intelligence tools.
- Solid understanding of accounting principles, financial statement analysis, and business metrics.
- Proven ability to multitask, prioritize effectively, and adapt quickly in a dynamic environment.
- Experience with project management methodologies and tools.
