Senior Operations Associate

Position Summary:

We are seeking a Senior Operations Associate to join our Family Office Services and Legal team. The ideal candidate will assist our Family Office team and General Counsel in providing exceptional support, guidance, and personalized solutions to our family members. This newly created position is a wonderful opportunity for a candidate who possesses a strong background in client services with proven success in concierge service environments and project management in wealth management or UHNW family office environments. Emphasizing confidentiality, this role requires a high-level of discretion and trustworthiness.

Key Responsibilities:

Family Office Services (FOS):

  • Support FOS with all family related special projects including personal residence construction, staffing
  • Assist with coordination of events virtual and in-person
  • Lead research for education and philanthropy programs
  • Develop project plans including but not limited to goals, strategy, staffing, identification of risks, resource requirements, and budgets
  • Overall support for trust and estate related administration
  • Manage and administer the family office portal software
  • General administrative support as needed

Legal Support:

  • Contract administration and review
  • Management of legal software and filing systems
  • Formation and management of legal entities
  • Correspond with outside counsel and external vendors
  • Independently manage and maintain ownership of special projects
  • Provide project management support
  • General administrative support as needed

Qualifications:

  • Bachelor’s degree required.
  • 5+ years prior experience in an operations role.
  • Prior experience working in a Family Office/UHNW family environment is highly desired.
  • Project Management: The ability to coordinate multiple tasks, projects, and family-related activities simultaneously.
  • Analytical Skills: Ability to analyze complex financial data, investments, and estate structures
  • Strong verbal and written communication skills to work effectively with family members, external advisors, and staff.
  • Discretion & Integrity: Given the sensitive nature of family office work, discretion, confidentiality, and trustworthiness are crucial.
  • Relationship Management: Ability to manage and nurture long-term relationships with family members and their advisors.
  • Problem Solving: Ability to address complex challenges. Proven success in being resourceful and thinking of out-of-the-box solutions.
  • Technical Fluency: Strong technical proficiency, in MS Office Suite, including developing and creating presentation decks. Familiarity with family office management platforms desired.
